Terms of Service
The terms and conditions governing your use of Frontdesko hotel management software.

1. Agreement to Terms
By accessing or using Frontdesko's hotel management software platform ("Service"), you agree to be bound by these Terms of Service ("Terms"). If you are using the Service on behalf of a hotel, business, or other entity, you represent that you have the authority to bind that entity to these Terms.
These Terms constitute a legally binding agreement between you ("User," "you," or "your") and Frontdesko ("we," "our," or "us"). If you do not agree to these Terms, you must not access or use our Service.
Important: These Terms apply to all users of the Frontdesko platform, including hotel owners, managers, staff, and administrators.
2. Description of Service
Frontdesko provides a cloud-based hotel management software platform that includes:
- Property Management System (PMS) for reservations, guest management, and front desk operations
- Online Booking Engine for direct reservations
- Channel Manager for OTA distribution (when available)
- Revenue Management tools
- Guest Communication features
- Reporting and Analytics
- API access for third-party integrations
We reserve the right to modify, suspend, or discontinue any part of the Service at any time with reasonable notice to users.
3. Account Registration & Security
Account Creation
- You must provide accurate and complete information when creating an account
- You must be at least 18 years old to create an account
- One account per hotel property (multi-property accounts available)
- You are responsible for maintaining the confidentiality of your login credentials
Account Security
- You must notify us immediately of any unauthorized access to your account
- You are responsible for all activities that occur under your account
- We recommend enabling multi-factor authentication when available
- We are not liable for any loss arising from unauthorized use of your account
4. Pricing, Payment & Billing
Free Tier
- Properties with up to 5 rooms can use the PMS free of charge, indefinitely
- No credit card is required for the free tier
- All core features are included in the free tier
Paid Plans
- Properties exceeding 5 rooms require a paid plan (Growth at $42/month for 10-30 rooms, Professional at $54/month for 30-50 rooms)
- Billing occurs monthly for active paid plans
- Prices are subject to change with 30 days' written notice
Payment Terms
- All payments are due within 15 days of invoice date
- We accept major credit cards and bank transfers
- Late payments may result in service suspension after 30 days
- All fees are non-refundable unless otherwise stated
5. Data Ownership & Usage
Your Data
- You retain full ownership of all data you input into the Service ("Your Data")
- You grant us a limited license to process Your Data solely to provide the Service
- We will not sell, share, or use Your Data for purposes other than providing the Service
- You can export Your Data at any time in standard formats (CSV, JSON)
Guest Data
- You are responsible for obtaining appropriate consent from your guests for data collection
- You must comply with applicable data protection laws (GDPR, CCPA, etc.)
- We act as a data processor on your behalf for guest data
- Our data processing practices are detailed in our Privacy Policy
6. Acceptable Use Policy
You agree not to:
- Use the Service for any unlawful purpose or in violation of any applicable law
- Attempt to gain unauthorized access to any part of the Service
- Interfere with or disrupt the Service or servers connected to the Service
- Reverse engineer, decompile, or disassemble any part of the Service
- Use the Service to store or transmit malicious code
- Resell or redistribute the Service without our written consent
- Use automated systems to access the Service in a manner that exceeds reasonable use
- Upload false, misleading, or fraudulent information
7. Intellectual Property
The Service, including its design, code, features, documentation, and branding, is owned by Frontdesko and protected by intellectual property laws.
- The Frontdesko name, logo, and related marks are our trademarks
- You may not copy, modify, or create derivative works based on the Service
- We grant you a limited, non-exclusive, non-transferable license to use the Service during your subscription
- Feedback and suggestions you provide may be used by us without obligation
8. Service Availability & Support
Uptime
- We target 99.9% uptime for the Service
- Planned maintenance will be communicated in advance when possible
- Service status is available at frontdesko.com/status
Support
- 24/7 email support is included for all users
- Priority support and phone support may be available for higher-tier plans
- We aim to respond to support requests within 24 hours
9. Limitation of Liability
To the maximum extent permitted by law:
- The Service is provided "as is" and "as available" without warranties of any kind
- We are not liable for any indirect, incidental, special, consequential, or punitive damages
- Our total liability shall not exceed the amount you paid us in the 12 months preceding the claim
- We are not responsible for losses due to circumstances beyond our reasonable control
Some jurisdictions do not allow limitation of liability for certain damages. In such cases, our liability is limited to the fullest extent permitted by applicable law.
10. Termination
By You
- You may cancel your account at any time through your account settings
- Upon cancellation, you will have 30 days to export your data
- No cancellation fees apply
By Us
- We may suspend or terminate your account for violation of these Terms
- We will provide 30 days' notice for termination without cause
- Immediate termination may occur for serious violations (fraud, illegal activity, security threats)
Effect of Termination
- Your access to the Service will be revoked
- Your Data will be retained for 30 days for export, then deleted
- Outstanding payment obligations survive termination
11. Indemnification
You agree to indemnify and hold harmless Frontdesko, its officers, directors, employees, and agents from any claims, damages, losses, or expenses arising from:
- Your use of the Service
- Your violation of these Terms
- Your violation of any applicable law or regulation
- Your violation of any third-party rights
12. Governing Law & Disputes
These Terms are governed by and construed in accordance with applicable laws. Any disputes arising from these Terms or your use of the Service will be resolved through:
- Informal Resolution: We encourage you to contact us first to resolve any dispute informally
- Mediation: If informal resolution fails, disputes may be submitted to mediation
- Arbitration: Binding arbitration may be used as a final resolution mechanism
13. Changes to These Terms
We may update these Terms from time to time. When we make changes:
- We will update the "Last updated" date at the top
- We will notify you via email or through the Service for material changes
- Continued use of the Service after changes constitutes acceptance of the updated Terms
- If you disagree with changes, you may terminate your account
